How billing works for employers, including payment methods and invoicing.

KOVR makes managing labor costs simple by consolidating all worker payments, platform fees, and insurance into a single transparent billing process.

How Billing Works

When you post a job, the estimated total is shown. However, you are only charged once shifts are completed and approved.

  1. Authorization: When you approve a worker for a shift, we may place a temporary "hold" on your payment method for the estimated cost.
  2. Final Charge: Once you approve a timesheet, your card or bank account is charged for the final hours worked plus the platform fee.
  3. Invoice Generation: An itemized PDF invoice is automatically generated and sent to your organization's billing email.

Accepted Payment Methods

  • Credit/Debit Cards: Easiest for small to medium businesses. Charges are processed instantly upon shift approval.
  • ACH/Bank Transfer: Recommended for large organizations or high-volume hiring to avoid credit card processing fees.
  • Net-30 Billing: Available for enterprise clients with high volume. Contact sales to apply.
Note: Our platform fee covers worker occupational accident insurance, 1099 tax processing, and 24/7 support.

Accessing Your Invoices

Admins can view and download all past invoices from the **Billing** section of the Employer Dashboard. You can search by date, job ID, or worker name to reconcile your accounts.

Failed Payments

If a charge fails, we will notify you immediately. To maintain platform access and ensure workers are paid, you must update your payment method within 24 hours. Repeated payment failures may lead to account suspension.

Taxes and Compliance

KOVR acts as the "Payer of Record" for tax purposes. We handle all 1099 reporting for the workers you hire through us, meaning you don't have to worry about collecting W-9s or issuing tax forms at the end of the year.
